AML / KYC Policy
PilotsGate operates strict Anti-Money-Laundering (AML) and Know-Your-Customer (KYC) controls across all operating entities. This policy explains what we verify, why, and what we do if a transaction looks suspicious.
Candidate KYC
- Government-issued passport or national ID (image + machine-readable scan)
- Pilot license issued by an ICAO-aligned authority
- Current Class 1 medical certificate (where applicable)
- Logbook excerpts evidencing reported flight hours
- English proficiency certificate (where applicable)
- Address verification on request
Provider due diligence
- Authority approval certificates (FAA Part 142 / 141, EASA Part-ORA, UK CAA, GCAA, CAAP, etc.)
- Corporate registration and tax registration documents
- Insurance policy currently in force
- Banking details with IBAN/SWIFT verification
- Sanctions and PEP screening on legal name and beneficial owners
Sanctions screening
We screen all parties against major international sanctions lists (OFAC, UK HMT, EU consolidated, UN). We do not onboard sanctioned individuals or entities, and we do not facilitate transactions involving sanctioned destinations.
Suspicious activity
Our compliance team monitors transactions for unusual patterns. Where we identify suspicious activity, we may pause the transaction, request additional information, and where required by law, file a suspicious activity report (SAR) with the relevant financial intelligence unit.
Data retention
KYC and transaction records are retained for the period mandated by applicable law (typically 5–10 years after account closure) for regulatory and audit purposes.
